Privacy Policy

Effective date: 2 April 2026

PackVision ("we", "us" or "our") is committed to protecting the privacy of your personal information. This Privacy Policy explains how we collect, use, disclose, store and protect personal information in accordance with applicable privacy laws.

By accessing our website at https://www.packvision.io or using our software platform and services (collectively, the "Service"), you agree to the collection and use of your information as described in this policy. If you do not agree, please do not use the Service.

1. Categories of information we handle

We handle two distinct categories of information:

Account and service data

This is personal information we collect about you — the business owner, administrator or user — in connection with operating your PackVision account. This includes registration details, billing information, and how you interact with our platform. The remainder of this policy primarily describes how we handle account and service data.

Operational data

This is data generated by your organisation's use of the Service — specifically barcode scan records and video recordings captured at your packing workstations. This data is owned by you (the customer). We store and process it only as necessary to deliver the Service to you, in accordance with our Terms of Service. We require customers to ensure that their collection of operational data (including video recordings of individuals) complies with all applicable laws, including any relevant state or territory surveillance laws, and that all necessary consents have been obtained from individuals who may be captured.

2. What account and service data we collect

Registration and account information

  • Your name, email address, and password when you create an account.
  • Company name, contact email, phone number, and billing address.
  • Payment information — processed securely by Stripe. We do not store card numbers or financial credentials.
  • Your selected time zone and in-app preferences.

Technical and usage data

  • IP address, browser type, operating system, and device information collected automatically when you visit our website or use the Service.
  • Approximate geographic location (country, city, region) derived from your IP address at the time of account registration — used for compliance and fraud prevention.
  • Log data including pages visited, features used, errors encountered, and access timestamps.
  • User-agent string recorded at sign-up for security and analytics purposes.

Some information is optional. However, if you do not provide certain details, you may not be able to access the full functionality of the Service.

3. How we collect your information

We collect personal information about you:

  • Directly from you — when you register an account, update your profile, contact our support team, or otherwise interact with the Service.
  • Automatically — through your use of our website and platform, including via server logs and cookies (see Section 11).
  • From third parties — for example, from payment processor Stripe when processing a subscription or billing event.

Where possible, we collect personal information directly from you.

4. How we use your information

We use your personal information to:

  • Provide, operate and maintain the Service.
  • Process payments and manage your subscription.
  • Send transactional and service-related communications, such as account creation confirmations, password resets, billing receipts, and trial expiry reminders.
  • Respond to your support requests and enquiries.
  • Monitor and improve the performance, security and reliability of the Service.
  • Detect, investigate and prevent fraud, security incidents or misuse of the Service.
  • Comply with our legal obligations.
  • Conduct anonymised analysis and reporting to understand how the Service is used and to improve it.

We do not sell your personal information to third parties. We do not use your data for advertising or targeted marketing purposes.

5. Marketing communications

We may occasionally send you product updates, feature announcements or other information about PackVision that we believe may be of interest to you. These communications are sent only to registered account holders and only where permitted by law.

You may opt out of marketing communications at any time by clicking the unsubscribe link in any email we send, or by contacting us at info@packvision.io. Opting out of marketing emails will not affect delivery of transactional messages (such as billing receipts or account notices).

6. Disclosure of your information

We may disclose your personal information to:

  • Service providers — trusted third parties who assist us in delivering the Service, including:
    • Cloud infrastructure and video storage: Microsoft
    • Payment processing: Stripe
    • Transactional email delivery: Mailjet
These providers are contractually obligated to protect your data and may not use it for any purpose other than providing services to us.
  • Law enforcement or regulators — where required by law, court order, or to protect the rights, property or safety of PackVision, our users or the public.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you by email and/or a prominent notice on our website prior to any such transfer and you will have the opportunity to close your account if you do not wish your data to be transferred.
  • Other parties you authorise — we may share your information with any other person or entity that you have expressly authorised us to share it with.

We do not share personal information with third parties for advertising, data brokering or any other commercial purpose unrelated to the Service.

7. Where your data is stored

Your account data and video recordings are stored on Microsoft Azure infrastructure. Storage may be located in the United States or other regions where Azure operates data centres. We take reasonable steps to ensure that any recipients handle your information securely and in accordance with this policy.

Video recordings are stored in private Azure Blob Storage containers. They are never publicly accessible — each playback request generates a short-lived, signed URL that expires after a limited time.

8. How long we keep your data

We retain your account and service data for as long as your account is active or as needed to provide the Service. Specifically:

  • Video recordings are retained for the video retention period specified in your subscription plan, after which they are automatically and permanently deleted.
  • Barcode scan records and session metadata are retained for the duration of your active subscription.
  • Account and billing data is retained for as long as your account exists and for a reasonable period thereafter to meet our legal and tax obligations.
  • Upon cancellation or closure of your account, we will delete or de-identify your personal information within 90 days, except where we are required to retain it by law.

9. Security

We implement commercially reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, destruction or alteration. These measures include:

  • Encrypted video storage via Microsoft Azure Blob Storage.
  • Short-lived, signed URLs for all video access (videos are never directly publicly accessible).
  • JWT-based authentication with role-based access controls.
  • Encrypted data transmission over HTTPS.

However, no method of transmission over the internet or electronic storage is completely secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

10. Your rights

You have the right to:

  • Access — request a copy of the personal information we hold about you.
  • Correction — request that we correct any inaccurate or outdated personal information.
  • Deletion — request that we delete your personal information, subject to our legal retention obligations.
  • Complaint — lodge a complaint with us if you believe we have mishandled your personal information.

To exercise any of these rights, contact us at info@packvision.io. Please provide sufficient information for us to verify your identity and understand your request. We will respond within 30 days.

11. Data breach notification

If we become aware of a data breach that is likely to result in serious harm to any affected individual, we will notify affected individuals as required by applicable law and take prompt steps to contain the breach and mitigate harm.

12. Cookies and tracking technologies

Our website uses cookies and similar technologies to improve your experience and help us understand how the Service is used. Cookies are small text files stored on your device when you visit a website.

Types of cookies we use

  • Strictly necessary cookies — essential for the Service to function, such as maintaining your login session.
  • Performance cookies — collect anonymous information about how visitors use our website (e.g. pages visited, error messages) to help us improve it.
  • Functionality cookies — remember your preferences and settings to personalise your experience.

Managing cookies

You can disable or delete cookies through your browser settings. Please note that disabling certain cookies may affect the functionality of the Service — for example, you may not be able to stay logged in. For more information about managing cookies, visit www.aboutcookies.org.

13. Links to other websites

Our website or Service may contain links to third-party websites. If you follow a link to another site, that site's own privacy policy will apply to your personal information. We encourage you to review the privacy policy of any third-party site you visit. PackVision is not responsible for the privacy practices of external websites.

14. Children's privacy

The Service is intended for use by businesses and is not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us at info@packvision.io and we will promptly delete it.

15. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for legal, operational or regulatory reasons. We will notify you of material changes by email or by posting a prominent notice on our website at least 14 days before the change takes effect. The updated policy will show a revised effective date at the top of this page.

Your continued use of the Service after changes take effect constitutes your acceptance of the updated policy.
